Eon Media

Effective date: October 9, 2026

This Privacy Policy explains how Eon Media Corp. ("Eon Media", "we", "us" or "our") collects, uses, shares and protects personal information when you visit eonmedia.ai (the "Site"), contact us, book a meeting with us or apply for a job.

This policy covers the Site only. Media, data and metadata that customers process through our products (eonARCHIVES AI, eonAUDIO, eonEXTRACT and GovSessions Insights) are governed by each customer's agreement with Eon Media. See section 9, "Customer content and sample content".

By using the Site, you acknowledge that you have read this policy. If you don't agree with it, please don't use the Site.

1. Information we collect

We collect two kinds of personal information.

Information you give us

  • Contact form: your name, email address, company, industry, phone number, the products you're interested in, and your message.
  • Meeting bookings: your name, email address and any details you add when you book a time with us through Calendly.
  • Job applications: your name, email address, phone number, the position you're applying for, your resume, cover letter or other files, compensation expectations, and anything you tell us about yourself.
  • Emails and calls: anything you send us directly, for example at sales@eonmedia.ai.
  • Sample content: video, audio or other media you email us, or share with us by a download link, to try our products, and any details you give us about it.

Information collected automatically (Device Information)

When you visit the Site, we and our service providers automatically collect information about your device and visit, such as your IP address, browser type, operating system, time zone, the pages you view, how long you stay, the website or search term that referred you, and how you interact with the Site. We collect this using cookies, log files, web beacons and similar technologies.

2. How we use information

We use personal information to:

  • respond to your enquiries and provide the information you ask for
  • schedule and hold meetings and product demonstrations
  • review job applications and communicate with candidates
  • follow up on your enquiry or evaluation, for example to share results or answer your questions (you can ask us to stop at any time)
  • understand how visitors use the Site so we can improve it
  • keep the Site secure and prevent misuse
  • meet our legal obligations and protect our rights

We don't sell personal information, and we don't add you to marketing or newsletter lists. We don't use personal information collected through the Site to train AI models.

3. Cookies and analytics

Cookies are small files stored on your device. We use:

  • Essential cookies that keep the Site working, such as remembering your session.
  • Analytics cookies from Google Analytics, connected through Google Site Kit, which tell us how many people visit, which pages they view and how they found us.

You can block or delete cookies in your browser settings, though some parts of the Site may not work properly without them. You can also opt out of Google Analytics using Google's browser add-on at tools.google.com/dlpage/gaoptout.

4. How we share information

We share personal information only in these situations:

  • Service providers who help us run the Site and our business, and who may use the information only to provide services to us. These include:
    • Google (Google Analytics and Site Kit) for website analytics
    • Calendly for meeting scheduling
    • Gravity Forms for contact and job application forms
    • Bluehost for website hosting
    • Google Workspace for email
  • Legal reasons: when we believe disclosure is required by law, a court order or a government request, or to protect the rights, property or safety of Eon Media, our customers or others.
  • Business transfers: if Eon Media is involved in a merger, acquisition, financing or sale of assets, personal information may be transferred as part of that transaction, subject to this policy.
  • With your consent: in any other case where you've agreed.

5. International transfers

Eon Media is based in Canada. Some of our service providers store or process information in other countries, including the United States. When information is processed outside Canada, it may be subject to the laws of that country, including access by courts and authorities there. Where required, we use contractual protections to safeguard personal information transferred from the European Economic Area or the United Kingdom.

6. How long we keep information

We keep personal information only as long as we need it for the purposes in this policy, or as required by law. As a guide:

  • Contact form submissions and sales emails: 24 months after our last contact with you
  • Job applications: 12 months after the role is filled, unless you're hired or ask us to keep your application on file
  • Analytics data: 14 months, under our Google Analytics retention setting
  • Sample content and the results we generate from it: 30 days after the evaluation ends, unless you become a customer or ask us to keep it longer

When we no longer need information, we delete it or make it anonymous.

7. Security

We use reasonable administrative, technical and physical safeguards to protect personal information against loss, theft and unauthorized access, use or disclosure. Access is limited to the people who need it. No method of transmission over the internet or of electronic storage is completely secure, so we can't guarantee absolute security.

8. Your rights and choices

Everyone. You can ask us to:

  • tell you what personal information we hold about you and how we use it
  • correct information that's inaccurate or incomplete
  • delete your information, unless we need to keep it for legal reasons
  • stop contacting you about your enquiry or evaluation
  • withdraw your consent where we rely on it

To make a request, contact us using the details in section 14. We may ask you to confirm your identity. We'll respond within 10 days.

Canada. Eon Media handles personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL). If you're not satisfied with our response to a privacy concern, you can contact the Office of the Privacy Commissioner of Canada.

European Economic Area and United Kingdom. If you're in the EEA or the UK, we process your personal information on these legal bases:

  • Consent, for analytics cookies where consent is required
  • Steps before a contract, when you ask us about our products or apply for a job
  • Legitimate interests, to run, secure and improve the Site and our business, where those interests aren't overridden by your rights
  • Legal obligation, where the law requires us to keep or disclose information

You also have the right to object to or restrict our processing, to receive your information in a portable format, and to complain to your local data protection authority.

9. Customer content and sample content

This policy doesn't cover media, data, metadata or AI models that customers process through Eon Media products. That content is governed by each customer's agreement with us. Customer content and models are kept separate for each customer, aren't shared with other customers, and aren't used to train models for other customers.

Sample content you send us to try EON. If you email us video, audio or other media, or a link to download it, to evaluate our products before becoming a customer, we:

  • use it only to process it with EON and show you the results
  • keep it private and don't share it with other customers or third parties, other than service providers who store or transfer it for us
  • don't use it to train models for other customers
  • delete the sample content, and the metadata and results generated from it, within 30 days after the evaluation ends, unless you become a customer or ask us to keep it longer

You can ask us to delete your sample content at any time by contacting us using the details in section 14.

By sending sample content, you confirm that you have the right to share it with us for this purpose. Sample content may include people who appear or speak in it. We process their information only to create the evaluation results, and then delete it as described above.

10. Children

The Site is intended for businesses and professionals. It isn't directed at children, and we don't knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we'll delete it.

11. Links to other websites

The Site links to other websites, such as news articles, partner pages, LinkedIn and Calendly. We aren't responsible for the privacy practices of those websites, and we encourage you to read their policies.

12. Do Not Track

Some browsers send "Do Not Track" signals. There's no common standard for these signals, so the Site doesn't currently respond to them. You can manage cookies as described in section 3.

13. Changes to this policy

We may update this policy from time to time to reflect changes to the Site, our practices or the law. We'll post the updated version on this page and change the effective date at the top. If we make significant changes, we'll add a notice on the Site.

14. Contact us
